Seeking Advice on Managing a Messy Contact List

Hello everyone,

 

I recently became the admin for my non-profit's Constant Contact account, and I'm facing some challenges with our contact list. We currently have over 2,000 contacts, but the list is quite messy, including incomplete entries like missing email addresses and partial names.

 

I'm considering deleting all contacts and reimporting a clean list, but I'm unsure about the repercussions, especially for those who have opted out, unsubscribed, or are actively subscribed. I want to ensure we retain any necessary data and comply with best practices.

 

Could anyone share recommendations on better methods to handle this situation? Are there specific tools or strategies within Constant Contact that can help clean up the list without losing valuable information?

Hi there,

As one of the largest Constant Contact Certified Solution Providers we encounter these types of issues with clients frequently - you're not the only one!

Consider NOT deleting contacts, but rather:

  1. Keep your contacts who have an email address in the account. This will ensure the system knows which email addresses unsubscribed. That's very important.
  2. Create a new spreadsheet where you include email addresses of new or current contacts. For each email address, include any new or updated information. 
  3. Upload the new spreadsheet and the system will sync all the data using the email address as the key.
  4. Remove any contact from the account that does not have an email address as those are useless for email marketing purposes. 

You may also consider verifying your email list if it has not been used in over 6 months or there are new email addresses. This is something we strongly advise clients to do as it ensures that invalid email addresses are removed from the account, thereby reducing your bounce rate and increasing your deliverability.
